Job description, responsibilities and duties:
Are you a dynamic individual with a keen eye for detail and a passion for ensuring efficient office operations? If so, we have an exciting opportunity for you! We are currently seeking a proactive Office/ Project Assistant to join our team
Please note: This position requires in-person work at our Bratislava office. Possibility of working from home on an ad-hoc basis.
Key Responsibilities
Office Management:
- Handle administrative tasks such as orders, market research, communication with suppliers
- Manage invoices, accounting inputs, financial paperwork, and personal agenda (timesheets, …)
- Prepare travel documentation and process travel reimbursements
- Perform document scanning, filing, and handling official submissions/publications
- Manage office supplies, inventory, giveaways and communication with suppliers
- Handle phone calls, correspondence, couriers, and visitor assistance
Event Organization Support:
- Support the organization of events such as the Quantum Technologies Summer School, science festivals, seminars, conferences, workshops and internal trainings
- Arrange venues, catering, logistics, accommodation, giveaways, etc.
- Coordinate with vendors and service providers when needed.
- Communicate with participants and guests.
Financial Department Support:
- Track and collect payments and invoices
- Support purchasing processes and payment administration
- Ensure proper documentation for the accounting team
Documentation and Reporting:
- Monitor and track institutional and project budgets, milestones, and deliverable
- Assist in preparing reports, presentations, internal documents, and other institution and project-related materials
Project Participation:
Actively participate in and organize ad hoc projects.
Requirements for the employee:
Candidates with education suit the position
- Secondary with school-leaving examination
Language skills
- Slovak – Advanced (C1)
- English – Upper intermediate (B2)
Experience in the position/sector
- 1-2 year
Personality requirements and skills
- At least 1-2 year of experience in office administration
- Excellent knowledge of Slovak and English language
- MS Office (Word, Excel, PowerPoint, Outlook) on advanced level
- Openness to work with online work management tool
- Ability to work independently and efficiently
- Problem solving and analytical capabilities
- Excellent communication skills – both written and verbal
- High level coordination and organizing skills
- Pro-active, result oriented and team-player attitude
